How Workflow Automations work
The integration works by setting up rules and conditions in the external system, foir example Jira, which, when met, automatically trigger the next step in your Payhawk workflow.
To automate your Payhawk workflow, your Payhawk administrator needs to do the following:
Create trigger conditions in the external system, for example Jira, allowing Payhawk to send data to the external system (incoming webhook).
Create an external approval step in Payhawk as part of your company's workflow.
Create trigger conditions in Jira allowing the external system to send data to Payhawk (callback). When the external approval is complete, the Payhawk workflow will automatically advance to the next approval step.
A use case
Imagine your company requires legal approval for certain purchases before they can proceed. If your Legal team uses Jira for task tracking, you can integrate Jira in your Payhawk workflow by setting the incoming webhook and the callback configurations.
In this case, the workflow that will be enacted will be the following:
An employee submits a purchase.
A workflow step in Payhawk is triggered, requiring legal approval.
A task is automatically created in Jira for the Legal team.
Once the Legal team marks the task as Done in Jira, Payhawk detects the approval and moves the purchase to the next step in the workflow.
