As a Payhawk administrator, you can enable the Procurement Agent, configure its settings, and set up the communication channel connection for individual entities.
Before you begin
The Procurement Agent is part of Payhawk Labs where you can experience it in advance. To activate it, see the article on managing Beta features in Payhawk Labs.
Enabling the Procurement Agent for individual entities
As a Payhawk administrator, you can enable the Procurement Agent for individual entities in the following way:
In the Payhawk web portal, select the Payhawk account of the desired entity.
Go to Settings > Payhawk Labs.
Click on the button on the Procurement Agent card.
Enabling the Procurement Agent for the group of entities
As a Payhawk administrator, you can enable the Procurement Agent for multiple entities within the group in the following way:
In the Group Dashboard, go to Settings > Payhawk Labs.
Switch on the Procurement Agent toggle.
Select the entities for which you want to enable the Agent.
Enabling the Procurement Agent for specific entities within the group allows the Payhawk administrators of those entities to view and manage it.
Each selected entity must still be configured individually, for example, the Slack integration needs to be set up.
Configuring the Procurement Agent
As a Payhawk administrator, you can configure the Procurement Agent for individual entities in the following way:
In the Payhawk web portal, go to Settings > AI Office.
Click on Configuration.
Select Connect Slack to set up Slack as a communication channel. As a result, the Slack connection flow will start.
Connecting Payhawk to Slack for the Procurement Agent
Once the Procurement Agent has been enabled and configured, you can connect Payhawk to Slack to utilize the channel as a conversational UI tool for your employees.
To connect Slack, you must be an administrator in both Payhawk and your Slack workspace. This ensures you have the necessary permissions to authorize the integration and manage notifications.
Start the connection flow by selecting Settings > AI Office > Procurement Agent.
Click on Continue and follow the instructions in the Slack integration wizard.
Grant permissions to share data between Payhawk and Slack by clicking on Allow.
Once Slack is connected, the Procurement Agent immediately becomes available for all users within the entity and starts supporting the procurement process at your company.
If the Procurement Agent is enabled for multiple Payhawk entities, you can connect them to one or multiple Slack workspaces and achieve granular control.
Users with matching email addresses in Slack and Payhawk receive notifications automatically, even if they haven’t manually authenticated in Slack.
If a user's Slack email differs from their Payhawk email, they must authenticate in Slack to start receiving smart reminders or approve requests.
Managing the Slack connection
As a Payhawk administrator, you can disconnect Slack in the following way:
Go to Settings > AI Office > Procurement Agent > Slack.
Click on the three-dot menu and select Disconnect.
Disconnecting Slack stops all automated follow-ups for users in that Payhawk entity.
The Payhawk app will remain visible in Slack until manually removed from the Slack workspace settings.
Users will no longer be able to take actions for that entity in Slack after disconnection.
