Setting spend limits, ATM withdrawals, and fund requests for employee cards

Define card-spend and recurring monthly limits and allow fund requests and ATM withdrawals for individual cards with spend-alone limits.

Payhawk administrators can manage corporate cards by quickly setting or updating the recurring monthly limits and card spend limits, and allowing ATM withdrawals and fund requests for cardholders.

Setting card spend limits

The card limit is the available amount of money on the Payhawk card. You can always change the spend limit when you issue a card or when the card is already issued.

To update the available card funds on a corporate card:

  1. Log in to the Payhawk web portal.

  2. Go to the Dashboard > Cards > Cards tab.

  3. Select the card whose settings you want to modify by clicking on it.

  4. In the Available field, enter the amount of the card limit and click elsewhere to save the changes.

Setting the recurring monthly card limit

The recurring monthly card limit is the amount of money the employee is allowed to spend per month. The card funds will be automatically topped up at the beginning of each month if the amount at that time is less than the defined recurring month limit.

When setting the recurring monthly card limit, note the following:

  • The editable Recurring monthly limit option under Settings is only available for cards with stand-alone limits.

  • Cards that are included in a spend company policy have their recurring monthly limits defined as part of the policy.

  • Team cards can be with stand-alone limits only and their recurring monthly limit can be set from the Cards > Team cards > Settings tab.

To set the recurring monthly limit of a Payhawk card:

  1. From the Dashboard > Cards > Cards tab, select the card whose settings you want to modify.

  2. Under the Settings tab, go to the Recurring monthly limit option, enter the desired amount, and click elsewhere to save the changes.

Allowing ATM withdrawals and fund requests

Allowing ATM withdrawals for a card assigned to an employee means that the employee will be able to draw company cash from that card from ATMs.

Allowing fund requests for the cardholder of a corporate card means that the employee will be able to submit requests and ask for additional funds that will be transferred to that card if the fund request is approved.

When enabling or disabling ATM withdrawals or fund requests for employees' cards, note the following:

  • You can explicitly allow ATM withdrawals and fund requests from the Dashboard > Cards > Cards tab for cards that have stand-alone card limits and, therefore, are not part of an existing spend company policy.

  • If a card is included in a spend company policy, you can enable or disable ATM withdrawals and fund requests for the cardholders as part of that policy under the Dashboard > Cards > Policies tab.

  • If a card is linked to a team card, you can enable or disable ATM withdrawals and fund requests from the team card settings under the Dashboard > Cards > Team cards tab.

To enable ATM withdrawals for physical cards and fund requests for employees:

  1. Go to the Dashboard > Cards > Cards > Settings tab.

  2. Select the desired card by clicking on it.

  3. Switch on the ATM withdrawals or Allow fund requests toggle button, respectively.

To disable ATM withdrawals and fund requests, switch off the ATM withdrawals or Allow fund requests toggle button.

The approval workflow of fund requests for cards with stand-alone limits is set to Any administrator by default regardless of the requested amount.

Assigning spend policies to employee cards
