When setting up automated data exports from Payhawk, you can choose to transfer files securely to your own SFTP server. Once you provide the necessary information to your Implementation Manager or Payhawk Support, they will configure the SFTP connection in your Payhawk account, and all exports will be transferred via SFTP.
Understanding SFTP
SFTP (Secure File Transfer Protocol) is a secure way to transfer files between systems over the internet.
Unlike standard file-sharing methods, such as email attachments or manual uploads, SFTP uses encryption to ensure that your data is protected in transit. It is as a locked, private pipeline between Payhawk and your company’s server–only authorized systems can access it, and every file transfer happens automatically and securely.
Using SFTP with Payhawk
Payhawk’s system is designed to push files to a destination you provide.
Here’s how to use SFTP with Payhawk:
A user triggers an export, for example, a CSV or an Excel file with spend data, from Payhawk’s platform.
The system automatically transfers the exported file to your designated SFTP folder.
The file is securely stored on your end, ready for your Finance, ERP, or Accounting team to process.
This setup helps automate data sharing while removing the need for manual downloads or email attachments.
Setting up the connection with Payhawk
To set up the connection, provide the following SFTP details to the Payhawk Support team or your Payhawk Implementation Manager:
URL / Host: The address of your SFTP server, for example, sftp.yourcompany.com or 34.83.134.0
Port: The port used for SFTP connections (for example, 22)
Destination Folder: The specific directory on your server where Payhawk must deliver files/payhawk_inbound/
Credentials: Username and password or SSH key-based authentication details. Your IT team can provide these.
Once Payhawk has these details, it will configure the SFTP connection in your Payhawk account, and you’ll receive confirmation when the setup is complete. Оnce configured, all exports will be transferred via SFTP.
If you have any questions about the details above, contact your IT team or system administrator. If you still have queries, reach out to the Payhawk Support team.
Tips for IT and Finance teams
IT admins need to make sure the SFTP folder has the correct permissions to receive files from the Payhawk system.
Finance and Accounting teams need to coordinate with their IT team to decide where files must be stored for easy integration with their internal systems.
