Managing scheduled email reports

Learn how to schedule daily, weekly, or monthly expense exports in CSV, Excel, or MT940 format to a pre-defined set of emails.

You can schedule your expense reports in CSV, Excel, and MT940 formats as well as use the accounting templates to generate the export in the format required by your ERP system or accounting software. You are also able to define the frequency at which the scheduled exports will be sent to you or your team by email.

Before sending out the scheduled report, Payhawk will remind cardholders to upload any outstanding receipts or add incomplete expense information.

Scheduling email exports

To schedule an email export in Payhawk:

  1. In the Payhawk web portal, go to the Export app.

  2. Click on the + New button.

  3. In the dialog that opens, provide the name of the export.

  4. Select the desired accounting template by clicking on Change template. Once done, you'll be redirected to the previous screen.

  5. From the Period drop-down menu, select how often the export will be sent to the recipients. If monthly or weekly, from the Export on drop-down menu, select the day for which the export will be scheduled - for example, Day 5 (monthly) or Monday (weekly).

  6. From the Recipients drop-down menu, select the roles or employees who will receive the scheduled email export.

  7. Click on Schedule export.

Editing and deleting scheduled exports

To edit a scheduled export:

  1. In the Export app, click on the three dots menu of the scheduled export you want to modify and select the Edit option.

  2. In the dialog that opens, edit the desired data. For example, to remove a recipient, hover over the name and click on x.

  3. Click on Save changes.

To delete a scheduled export:

  1. Go to the Export > Scheduled exports tab.

  2. Click on the three dots menu of the scheduled export you want to modify and select the Delete option.
