Manage the connection between Payhawk and your HR information system (HRIS) for your group of entities all at once.

You can connect Payhawk to your HR information system (HRIS) for your group of entities all at once.

Connecting the two systems

To connect your group to the HRIS:

  1. From the Group Dashboard, go to Settings > Integrations.

  2. Select the desired HRIS and connect it to Payhawk.

  3. Map the accounts between the systems.

    The wizard will enable you to map the entities in your Payhawk group to the companies detected in your HR system. The mapping is based on a selected property of the employees - for example, Company, Location, or a custom one. When the mapping is complete, click on Continue.

The next steps are identical to the steps for linking individual accounts:

Note that once you fill in the configuration for 1 company, Payhawk will auto-suggest the shared settings across entities for an easier setup.

Mapping employees from HRIS on the group level via custom fields

By default, Payhawk utilizes the Company and Location employee attributes to differentiate between entities and invite employees to the relevant Payhawk accounts.

However, during the connection setup process, you can define a custom field for entity mapping if needed:

  1. Initiate the connection setup on the group level, as described above.

  2. When you reach the custom field mapping screen in the setup wizard, click on Map fields.

    1. Search the list of available employee attributes. If the attribute you're looking for isn't listed, check the permissions of your service user/API token in your HR system to ensure it has read access to the relevant attribute.

    2. Select the field you want to use for mapping employees to Payhawk entities. The following example uses Department.

    3. Click on Save mappings.

  3. Continue with the setup to retrieve the list of employees to be invited from the HR system. You can preview this list by clicking on the number displayed on the Fetching data screen.

  4. On the Entities mapping screen, select Custom field from the drop-down menu and click on Continue.

  5. The entities from your HR system, displayed on the left, are based on the custom field you mapped in the previous step (Department). You can now map each HR system entity to the corresponding Payhawk entity, and you can also link multiple HR system entities to a single Payhawk entity.

    To exclude employees from a specific HR system entity, do not map it to any Payhawk entity.

  6. Once this process is complete, the employees mapped to each Payhawk entity will be invited to that entity with the Employee role.
