Billing and delivery process for bulk-issued cards

When physical cards are issued in bulk, Payhawk applies specific procedures for shipping charges based on whether the cards are delivered in a single group shipment or as separate deliveries.

Conditions for shipping bulk-issued cards in single deliveries

Payhawk will ship bulk-issued physical cards in a single delivery and apply a single delivery charge in the following cases:

  • When the cards are part of the same Payhawk account. Cards from multiple Payhawk accounts within the same group will still be delivered separately, regardless of their delivery address or recipient.

  • When the cards are issued on the same issuing day.

    The issuing date may differ from the shipping date due to manufacturing cut-off times set by Payhawk’s fulfillment providers. For example, for an EU-based fulfillment provider, the cut-off time may be 14:00 UTC, while for a US-based one, the cut-off time may be 23:00 UTC.

  • When the cards are delivered to the same address.

  • When the cards are delivered to the same recipient (same name and phone number).

When you issue physical cards one by one, Payhawk will still apply the same grouping rules and deliver them to your company’s default shipping address and recipient, unless you specify different delivery details.

Conditions for shipping bulk-issued cards in separate deliveries

The actual issuance date of a physical card may differ from the date on which the card was ordered. This is because cards are only manufactured and shipped after the cardholders have completed their registration in Payhawk.

For example, if you order 7 cards in bulk on May 1, but not all users are registered at that time, the cards may be issued as follows:

  • On May 1, 4 cards are shipped together for already registered users via bulk delivery.

  • On May 2, a single card is shipped for a newly registered user.

  • On May 5, 2 cards are shipped together for newly registered users via bulk delivery.

As a result, you will receive a total of 3 individual deliveries, each with its separate shipping charge.
