Check whether the funds in your Payhawk accounts are sufficient to cover the monthly card limits for all cardholders at your company.

You need to be aware of whether the funds in your Payhawk currency accounts are sufficient for the defined card limits of your employees and the scheduled bank transfers to your suppliers.

Checking available funds for monthly card limits

After the cards for your employees have been issued and their monthly card limits defined, you can check if the available money in your Payhawk account is sufficient to provide for all card limits.

  1. Log in to the Payhawk web portal.

  2. Go to Cards.

  3. In the AVAILABLE column of the list of cardholders, check for red figures. The red figures indicate that the available amount of money in your Payahwk account is insufficient to cover this monthly card limit.

  4. Handle this issue in either of the following ways:

    • Reduce the monthly limit for the card. This approach is suitable if the cardholder won't be using the card until the end of the month or until the next time you plan to load funds in your Payhawk account.

    • Load funds to your Payhawk account. This approach is recommended if the cardholder will be paying corporate expenses until the end of the month or until the next time you plan to load funds in your Payhawk account.

Checking available funds for scheduled payments and subscriptions

To check whether the funds in your respective Payhawk currency accounts are sufficient for the upcoming scheduled payments and subscriptions:

  1. Go to Funds.

  2. Select the desired currency account by clicking on it.

  3. From the calendar, select the period for which you need to check the available funds.

  4. On the screen that loads:

    • The Available amount is the money that is available at the moment on your Payhawk currency account.

    • If you have any upcoming payments for this Payhawk currency account, click on the Upcoming payments section to view the scheduled payments and due subscriptions for the selected period.

    • The Safe to spend section shows the actual money you can spend, that is the currently available funds minus the upcoming payments.

If the funds are insufficient to cover the upcoming payments for the selected period, the system will display a warning when you open the account.

Setting email notifications for low funds

You can request the system to send you automatic email notifications if the funds, available in your currency account, fall below an amount threshold you have defined.

  1. Go to Funds and select the account for repayment by clicking on it.

  2. On the Settings tab, switch on the Email notification toggle button and define the threshold.

The email notifications for low funds will be sent to all Payhawk administrators at your company.
