Managing scheduled payments

Authorize scheduled bill payments or reimbursable expenses one by one or in bulk, or immediately pay or reschedule them.

Once the payment details for a bill or reimbursable expense have been confirmed, the expense will move from the Pay > Confirm details to the Pay > Authorize tab. From here, you can authorize the scheduled expense, override its scheduled date, or return it for details confirmation and reschedule it altogether.

Scheduled payments that have been authorized will appear under the Pay > Scheduled tab. Once they are processed on their scheduled date, they'll move under the All tab.

Overriding scheduled payment dates for bills or reimbursements

You can also override the scheduled payment date for a bill or a reimbursement and immediately execute it in the following way:

  1. In the Payhawk web portal, go to the Pay > Authorize tab.

  2. Select the desired expense by clicking on it.

  3. Click on its three-dot menu and select the Pay now option. As a result, a payment run will initiate, and you'll need to authorize the payment on your phone.

Even after a scheduled bill or reimbursement has been authorized, you can still override its scheduled date and pay it immediately in the following way:

  1. In the Payhawk web portal, go to the Pay > Scheduled tab.

  2. Select the desired expense by clicking on it.

  3. Click on its three-dot menu and select the Pay now option. As a result, a payment run will initiate, and you'll need to authorize the payment on your phone.

Returning scheduled bills or reimbursements for details confirmation

You can return a scheduled bill or reimbursement for details confirmation and reschedule it.

You can return expenses for details confirmation from both the Pay > Authorize and Pay > Scheduled tabs.

This example shows how to return a payment for details confirmation before it has been authorized.

  1. In the Payhawk web portal, go to the Pay > Authorize tab.

  2. Select the desired expense.

  3. Click on its three-dot menu and select the Return for details confirmation option. As a result, the expense will move to the Pay > Confirm details tab, from where authorized people at your company can reschedule it.

Authorized payments can still be rescheduled from the Pay > Scheduled tab by using the same steps described above. If funds are insufficient when opening a scheduled payment, the system will display a warning.
