Payhawk cards are due to expire as follows:
Plastic physical cards expire 4 years after the date of their issuance.
Premium Metal cards expire 5 years after the date of their issuance.
Virtual Payhawk cards expire 4 years after the date of their issuance.
Cards issued before 2024 expire 3 years after the date of their issuance.
The system monitors all active Payhawk cards. When cards are about to expire, you will be informed in advance over email. As of their expiry date, the expiring cards will be automatically closed by the system.
Specifics
The card number of the reissued card will be the same as the card number of the expired card.
Payhawk will reissue and deliver your company cards free of charge and you won’t have to pay any shipping fees. Once the reissued card is activated, the expired card will be closed, so make sure you transfer any remaining merchant subscriptions over to your reissued card.
All reissued cards will be available in the cardholder's account before the expiry date of the expiring cards.
On the expiry date, Payhawk will reissue any expiring cards that are open. To prevent the automatic reissuing of cards, close them in advance.
The reissuing process for physical cards
When your physical Payhawk cards are about to expire:
Two months before the expiry date, Payhawk administrators will receive a notification email from Payhawk with the number and type of cards to be reissued, and the shipping address and authorized card recipient registered in Payhawk. For more information, see the article on how to update the default shipping address of your company.
A month and a half before the expiry date, Payhawk administrators will receive a reminder email from Payhawk about the expiring cards.
One month before the expiring date, Payhawk will reissue expiring physical cards and Payhawk administrators will receive a notification from the system about that. The reissued physical cards will be sent to the shipping address and to the recipient that have been provided in the system.
Upon receiving the reissued cards, cardholders need to update the card details of any subscriptions that were due from the expiring cards. Expired Payhawk cards will be automatically closed by the system on their expiry date.
The reissuing process for virtual cards
When your virtual Payhawk cards are about to expire:
Two months before the expiry date, Payhawk administrators will receive a notification email from Payhawk with the number and type of cards to be reissued.
A month and a half before the expiry date, Payhawk administrators will receive a reminder email from Payhawk about the expiring cards.
One month before the expiry date, cardholders will be notified about any expiring cards issued in their name.
Within the month before the cards expire:
Cardholders can reissue their cards both from the Payhawk web portal and mobile app anytime they wish.
From the Expiring > Reissue scheduled tab, Payhawk administrators can reissue any expiring company cards from the Payhawk web portal anytime they wish. All reissued cards will be visible under the Expiring > Reissued tab.
Whenever a card has been reissued proactively either by a cardholder or Payhawk administrator, Payhawk will notify the cardholder and the Payhawk administrators at your company.
If the expiring virtual cards have not been reissued proactively by cardholders or Payhawk administrators, they will be automatically reissued by the system a day before their expiry date and will become active and visible in their cardholders’ accounts immediately.
User notifications
An employee will be notified that their card is about to expire, that the card has been reissued, and when a reissued physical card has been sent to the default shipping address of your company.
The user notifications will be visible in the Payhawk mobile app and web portal when the employee selects the card that is about to expire.
Unlike virtual cards which become available immediately after reissuing, employees have to activate their reissued physical cards in the mobile app before they can start using them.
