Our direct integration with Datev (Rechnungsdatenservice 1.0) allows us to have full control over the data pushed over to your Datev accounting. If you haven't connected your Datev organization to Payhawk, you can follow this guide.

Here's a diagram of all the data that Datev and Payhawk are sharing.

Only settled card transactions are exported

For accounting reasons, we export only settled transactions. Hence, if the payment has been authorized but not settled, we will not export it. Once a transaction is settled, its settlement data and the amount will be automatically exported to the Datev accounting.

Types of expenses exported to Datev

When you Mark as reviewed an expense this will push the expense to Datev.

  • Card expenses - exported when settled

  • Cash expenses

  • Reimbursable expenses

  • Bank expenses

When a non-card expense is exported, it is pushed to Datev as unpaid bill.

Payhawk data fields that are exported to Datev

  • Supplier

    • Supplier name

    • Supplier VAT number

  • Category - mapped to the Datev's chart of accounts.

  • Document number

  • Document date

  • Due date - for all bank expenses Payhawk exports the due date. If there is no due date entered, the date of the expense is used as due date.

  • Note - the explanatory note for the expense is shown in the Description field of the expense in Datev.

  • Document image

  • Expense Total Amount

  • Currency

  • VAT Rate - the tax rate provided from Datev BU Code.

  • Cost centers - Payhawk exports the KOST1 and KOST2 Datev cost centers.
