Synching and updating departments from Oracle NetSuite

Fetch departments from the Oracle NetSuite accounting software to the Payhawk system.

When you connect your Payhawk account to Oracle NetSuite, your available Oracle NetSuite departments are automatically imported.

Syncing departments from Oracle NetSuite

When connecting your Payhawk account to Oracle NetSuite, you can choose to sync departments from Oracle NetSuite to Payhawk as one of the following options:

  • Departments can be synced in Payhawk as a Custom field. Once you select this option, the custom field can be found in Settings > Expense fields > Tracking categories from Oracle NetSuite. Note that for the departments to be synced as a custom field, you must set a custom name for your group team structure, and the name must not be departments.

  • Departments can be synced in Payhawk directly as a mapping field for your Payhawk Departments structure. Note that both the None and Mapping against Teams options will default to departments being synced as a mapping field.

Updating departments from Oracle NetSuite

If you update your Oracle NetSuite departments after the connection between the two systems has been established, you have to manually update the teams data in Payhawk.

To manually update your teams (departments) in Payhawk:

  1. In the Payhawk web portal, go to Employees > Teams.

  2. Click on Update from NetSuite.

  3. Click on the team you need.

  4. Select the three dots menu and click on Edit.

  5. From the External ID drop-down list, choose the Oracle NetSuite department you want to map.
