Payhawk supports direct integration to DATEV Cloud Service, providing you with the flexibility to effortlessly export and sync your expenses between the two systems. By connecting to your DATEV account, you allow Payhawk to export expenses directly into your DATEV import folder.
For more information on what information Payhawk and DATEV exchange, see the article about exported data between DATEV Unternehmen Online (DUO) and Payhawk.
Initial interaction between Payhawk and DUO
When connecting Payhawk to DUO, note the following:
Payhawk creates the BU7, BU8, and BU9 VAT rates. To add other VAT rates, see the article on creating VAT rates by using DATEV BU codes.
DATEV does not allow you to directly pull your KOST1 and KOST2 categories. Therefore, to start exporting the expenses, a Payhawk administrator role has to manually put them in beforehand. For more information, see the articles on mapping categories and pulling KOST1 and KOST2 fields.
Prerequisites
Before you start, make sure that your tax advisor has enabled your MyDatev client to use Rechnungsdatenservice 1.0 and granted you administrator rights.
Connecting to DUO
To connect your Payhawk account to DUO, follow the steps:
Go to Dashboard > Settings > Integrations.
Select DATEV.
On the next screen, click Continue.
Log in to DATEV with your credentials. If you have several DATEV clients, choose the name of your organization from the drop-down menu.
Click on Continue.
Grant Payhawk permission to read the necessary information for the integration by clicking on I Agree.
7. On the next screen, enter the following information:
The Collective supplier account. Payhawk uses the collective supplier account for expense and payment postings. You can now assign both types to the supplier's vendor number.
The Payhawk bank account for the currency that you will use (EUR, BGN, GBP, or USD). To upload only the expense (and not the payment) posting for a specific currency to DUO, leave the field empty.
The Cash-in-transit account, which is used for mapping deposits to the Payhawk account in DUO.
If you haven't mapped the bank account code, Payhawk won't export your payments to DUO. The same applies to FX fee postings.
8. Click on Continue.
9. On the screen that opens, enter the Accounting code for the ancillary cost of monetary transactions (ATM withdrawals and FX fees).
10. Click on Continue. As a result, your Payhawk account is connected to your account in DUO.
Notes on configuration
The integration setup from the last time Payhawk and your accounting system were connected will be automatically re-applied the next time you connect.
You can edit the current integration setup without disconnecting from your accounting system. In Payhawk, go to Settings > Integrations, click on the three dots menu of the desired ERP system, and select Edit configuration.
