As a cardholder, you can view all your card transactions in the Payhawk mobile app, including their status and details such as date and amount. For common failed transactions, you will receive prompts with specific actions to resolve the issue.

Card transaction statuses

Payhawk labels each card transaction with a status that allows you to track its progress and take any necessary action. Here's a list of the available statuses:

  • Pending - The transaction is still in progress and has not yet been settled, as the funds are reserved but the final amount can still change or be reverted.

  • Settled - The transaction has been successfully completed.

  • Failed - The transaction was unsuccessful and the payment was not received.

For failed card transactions, Payhawk will display a message with the reason for the failure. In specific cases, for example, if a card transaction failed due to your card being blocked (frozen), you will receive a prompt with an action that will help you resolve the issue.

  • Refund - The amount has been returned by the merchant.

In this case, the original expense was authorized and successfully settled, meaning the merchant received the funds. Later, the merchant issued a refund, and the Payhawk system generated a new expense with a negative (-) amount.

  • Canceled - The transaction was either canceled by the merchant, or the merchant did not claim the funds within the required timeframe.

Let’s consider a case of a canceled transaction – an authorized but unsettled payment where no funds were received by the merchant such as a hotel deposit that’s temporarily blocked and later released. When this happens, the original and reverted amounts cancel each other out, and the expense is removed from the system.

If you pay a deposit with your card using a digital wallet, such as Apple Pay or Google Pay, the proof of the reverted transaction provided by the merchant will show your Device Account Number rather than your card number.
